In an article first published in the July 2015 edition of Education Executive magazine Maria Mason, strategic head of payroll at NAHT Assure, is asked her opinions on the key considerations when choosing a new payroll supplier.
The article discusses the importance of choosing payroll suppliers who are education specific as well as having pension expertise, in addition to being aware of the extra considerations for Multi-Academy Trusts (MATs).
As one of the most complex types of payroll, Maria believes that when selecting your choice of payroll system, a considered choice must be made. With staff salaries accounting for approximately 75% of a school’s budget it is important that schools and academies have absolute clarity of where their money is being spent. As well as being easy to use and providing detailed reporting, payroll systems need to manage the multi-faceted calculations associated with school payroll and pensions.
Should a school business manager fall into the trap of choosing a provider who doesn’t focus solely on the education sector, they may be faced with hidden costs when the complexities of school payroll administration come to light and remedial work is required.
Another of Maria’s key considerations is pension reporting. Choosing a provider without this capability in mind is one of the most common mistakes that is made by schools and academies. “As a consequence they often choose a system / provider that can’t accommodate their extensive requirements for monthly and annual pension schedules alongside the monthly provision of pension forms. This often results in their pension administrator holding incorrect data for individuals and this could result in incorrect pensions being actioned, or the school incurring severe penalties.”
